1 TXVA Crisis Plan The TXVA Crisis Response Team will provide immediate assistance to teachers and students in times of crisis or traumatic events. The Crisis Team will consist of Principals (3-8 and HS), Special Programs Mgr and Family Resource Coordinator. The Crisis Team will be engaged in the event of: Suicide/Suicide threat, Loss of parent(s)/student, CPS (immediate danger), Self harm, Mental health crisis, Natural Disaster & Staff Crisis
2 Suicide Threat Teacher moves student to separate breakout room, requests student stay in the room until FRC arrives, and continues communicating with them. **If the student exits before the FRC arrives, dial 911 to report the situation Teacher places phone call to Special Programs Mgr while sending Class Connect Link to Principal, Special Programs Mgr and FRC (Subject Line: Crisis Situation; High Priority selection) Teacher Calls Principal while still in breakout room w/ student. While in breakout room, FRC will instruct Teacher on next steps (to stay in room or be released) Teacher gathers LC and EC info and s FRC room before LC is available, FRC will dial 911 **If student leaves breakout Principal or Lead will stay in breakout room until released by FRC FRC will complete intervention with student Teacher will submit a FAST referral for FRC and inform counselor/homeroom teacher FRC will update Principal and Teacher with outcome

Notify appropriate school counselor/social worker and your administrator immediately after your report to CPS. • 5. IMPORTANT: Document in TotalView exactly as stated below. Do not discuss with staff unrelated to this report. • Subject line: Referral to CPS and to Counselor or Social Worker Body of note: • Employee name who initiated referral. Date and time of referral. Name of CPS personnel, principal/administrator and counselor/social worker notified.
7 …Continued Steps for Reporting Abuse (if suspected abuser does NOT reside with the student): • 1. 2. Contact the appropriate local (to the student) sheriff’s office or police department ASAP. Have student information in TotalView accessible to provide information to the sheriff/police. 3. Make factual notes including date, time, and your observations as well as notes on your report to the sheriff or police department and maintain your notes of the report in a secure location. • 4. Notify appropriate school counselor/social worker and your administrator immediately after your report to the authorities. In conjunction with that notification, decide who will notify the student’s parent or legal guardian. That person should then immediately make that notification. • 5. IMPORTANT: Document in TotalView exactly as stated below. Do not discuss with staff unrelated to this report. Subject line: Referral to Police/Sheriff and to Counselor or Social Worker and notification to parent or legal guardian. Body of note: • Employee name who initiated referral and notification. Date and time of referral/notification. Name of officer, principal/administrator, counselor/social worker and parent/guardian notified.

Students and families know you care and will share their problems with you. The most important thing you can do is to listen without judgment. Take a deep breath, let it out slowly, and pretend you have all the time in the world. Keep your voice calm, low, and speak slowly. You don’t have to have all the answers: just listen, take notes and use some of the following guidelines. Contact administration and/or counselor immediately, CPS and/or police as appropriate. Refusal to get help = greater risk; Angry hang up = greater risk R for Referring the person to someone who can help - You’re going to feel better, trust me. Make a 3 way call with the person; use your other phone or IM to contact counselor and/or crisis lines. Stay on the line until you have student connected to referral.

11 Data Backup Plan K12 Data Backups K12 performs data backups daily. Data is backed up to a separate, disk-based storage system in a secure, geographically segregated data center for optimal protection. This data is considered to be critical data and is capable of surviving a disaster (fire, water damage, etc.). The data is stored in a world class, biometrically secured level 3 data center. K12 also employs a data replication strategy and architecture. In addition to the daily data backups, data is continually replicated to our geographically segregated contingency data center for the purposes of disaster recovery. Our data replication strategy protects against data loss should our primary data center experience a catastrophic event requiring K12 to run system operations from our contingency data center.
12 Continued Engagement PlanContinued Engagement Plan When Service is Interrupted Schools are required to have a plan for continued student engagement in the event that course access is interrupted. This plan shall be implemented when learning systems are unavailable during the regular school day. The plan includes steps school administrators should take to alert staff, students and learning coaches of system interruption, and includes a communication plan to support continuous learning. The purpose of this plan is to provide guidance to schools to aid in developing a plan school leaders will follow during a system interruption, to ensure their students have an opportunity to stay engaged. Below are scenarios detailing who will be communicated to, when, and by whom.
13 Continued Engagement PlanScenario 1: Access to the OLS or the K12 Online HS/MS is interrupted. Students have regularly scheduled Class Connect sessions and there are no issues with Blackboard Collaborate. Students cannot access Class Connect sessions from the scheduler in the OLS/Online HS due to the system interruption. Teachers will send the CC invitation link via Skype for students who have it and it out in case students can access the link via the Learning Coach’s . Teachers will make a recording during the session time to post in the WHIM (What Have I Missed) in the course for students to access. Students/Families will be sent an external warning of the outage and the information will be posted on Facebook and Twitter.

Students can reach their teacher if they cannot use school by phone or via Skype What are supplemental activities students can be working on while they cannot access course assignments? Students are directed to work on offline work during the intermittent outage. This includes research papers, essays and other offline work that is due within the time frame of the occurrence. Students will have their downloaded course text books to read during the intermittent outage. How will teachers communicate to students what they can work on during the system interruption? If the outage is extended, phone calls as well as social media and can be used to communicate this to students and families. What is the communication plan to families when course access is restored? Families will be aware when access is restored via autodialer and . Strong Start communication, as well as ongoing student support communication will address that families should check the school based site often in the event of an outage
15 Continued Engagement PlanScenario 2: System access to the OLS or the K12 Online HS/ MS is interrupted. Students do not have any regularly-scheduled Class Connect sessions. Teachers will send out resources for lessons, such as PowerPoints or links, via Skype. Students will have their downloaded course text books to read during the intermittent outage. Students/Families will be sent an external warning of the outage, the information will be posted on Facebook and Twitter, and an auto dialer will go out to families. What are supplemental activities students can be working on while they cannot access course assignments? Teachers will send out resources for lessons, such as PowerPoint links, via Skype. Students will also be encouraged, during orientation, to access practice assessments as an alternative in the event of an outage. How will teachers communicate to students what they can work on during the system interruption? Teachers and support staff will call their students, send and message them via text. How will students reach their teacher if they have course questions and cannot use school ? Students will call and/or text their teachers. Students are directed to save a hard copy of all teachers’ phone numbers on the first day of school in case of an outage or emergency. What is the communication plan to families when course access is restored? Families will be aware when access is restored when they log in to their system. Onboarding communication, as well as ongoing communication will address that families should check the school based site often in the event of an outage.
16 Continued Engagement PlanScenario 3: Blackboard Collaborate is experiencing a service disruption and students are not able to access Class Connect. How will students be notified that the Class Connect session has been cancelled? Students will be notified in an OLS/OHS announcement and in School that Blackboard is down and sessions are canceled until service resumes What is the communication plan to families when Blackboard Collaborate/Class Connect access is restored? Students will be notified via School , text and autodialer communications How will required attendance be excused? Students will not be penalized for required sessions that were missed during the outage. Teachers will record make up content sessions.
17 Continued Engagement PlanScenario 4: PLA/ Study Island or USA Test Prep has an outage during a critical testing window. During the outage, all other platforms including OLS/The K12 Online HS and Blackboard Collaborate are working without any issues. Student will resume normal activities, a new deadline for assignments/tests would be determined. Students’ will be expected to complete OLS lessons, work samples and attend Class Connect sessions. Families would be ed that the testing windows will be extended. Students will access assessments once system is restored.
